FAQ
Frequently Asked Questions
Travel planning comes with practical questions. Below is a straightforward overview of how Elsewhere works, what may be included, and what to expect before planning begins.
Questions, answered clearly
Services & Planning
Elsewhere can assist with a wide range of leisure travel, including hotel and resort stays, ocean and river cruises, multi-destination itineraries, milestone travel, couples’ trips, family travel, private guides, tours, dining, transfers, and other experiences. Support may range from a single commissionable stay or cruise booking to a fully custom journey planned and coordinated from beginning to end.
The right service depends on the complexity of your travel and how involved you want to be in the planning process. A single commissionable hotel, resort, or cruise booking may qualify for complimentary booking support. Travel involving multiple destinations, detailed logistics, dining, tours, transfers, pre- or post-cruise stays, or broader itinerary planning will generally require a paid planning engagement. Elsewhere will review your inquiry and recommend the service level that best fits your needs.
Earlier is generally better, particularly for international travel, cruises, milestone occasions, peak-season destinations, and complex itineraries. Planning timelines vary by destination, availability, scope, and season. Short-lead requests are considered case by case and may require an expedited planning fee when a compressed timeline requires priority research, coordination, or booking. Any additional fee will be disclosed before work begins.
Yes. Please share any dietary, mobility, accessibility, medical-logistics, or other important considerations during the inquiry process. Elsewhere will factor those needs into recommendations and communicate them to the relevant suppliers where possible. Final accessibility details, room configurations, transportation capabilities, and other accommodations remain subject to supplier confirmation.
Fees, Payments & Compensation
A single eligible hotel, resort, or cruise booking may be handled on a complimentary basis when the booking is commissionable and does not require broader itinerary planning. If the request includes additional components—such as transfers, excursions, dining, pre- or post-cruise stays, complex logistics, or a wider itinerary—a planning fee may apply.
Planning fees start at $500. Final fees are based on scope, duration, complexity, lead time, and the level of support required. Planning fees reflect the time, research, judgment, coordination, and level of support required for the engagement. Paid planning begins once the scope is confirmed, the client agreement is accepted, and the planning fee is paid. Planning fees compensate Elsewhere for work performed and are nonrefundable once planning begins.
Elsewhere may earn commission from certain hotels, resorts, cruise lines, tour operators, and other travel suppliers. Planning fees compensate Elsewhere for advisory work, research, itinerary development, coordination, and support that may not be fully covered by supplier commission. Recommendations are made based on fit, quality, and your priorities—not solely on commission.
Not necessarily. In many cases, advisor-booked rates are comparable to publicly available rates and may include additional benefits at eligible properties. Rates, terms, cancellation policies, and inclusions vary by supplier and booking channel. Elsewhere will explain the relevant options before booking.
Travel payments are made through secure payment links or approved booking systems generated by the applicable supplier. In most cases, payment is made directly to the hotel, cruise line, tour operator, or other travel provider, helping ensure that supplier safeguards and payment protections remain in place. Planning fees are paid separately before paid planning begins. Credit-card or other sensitive payment information should never be submitted through Elsewhere’s public inquiry form.
Hotels, Loyalty & Preferred Benefits
One of the pleasures of booking through Elsewhere is the possibility of receiving thoughtful extras at eligible hotels. Through Elsewhere’s affiliation with Fora Travel, your stay may include benefits such as daily breakfast, property credits, a welcome amenity, upgrade priority, early check-in, late checkout, or VIP recognition. Benefits vary by property and rate, and some are confirmed only at check-in. Elsewhere will explain what applies to your booking and advocate for the best available experience.
Wherever the hotel and selected rate allow, absolutely. Elsewhere will add your loyalty-program number to the reservation so your existing status can be recognized and eligible points or night credits can be awarded. Loyalty-program rules vary, so credit and status recognition ultimately remain subject to the hotel’s terms. Before booking, Elsewhere can help identify whether a particular rate is expected to qualify.
Yes. Thoughtful details often make the difference between a good stay and one that feels genuinely personal. Elsewhere can communicate requests such as preferred bedding, connecting rooms, dietary needs, accessibility considerations, arrival timing, celebration notes, and other important details. While fulfillment is always subject to the supplier, Elsewhere will ensure your requests are clearly documented and thoughtfully advocated for.
Preferred benefits are valuable, but some—particularly upgrades, early check-in, and late checkout—depend on availability at the time of arrival. Elsewhere will advocate on your behalf and confirm any guaranteed benefits in advance where possible. If a requested benefit cannot be fulfilled, the final decision rests with the hotel or supplier.
Booking & Travel Logistics
Yes, on a limited basis. Elsewhere can assist with international airfare, particularly premium-economy, business-class, and first-class itineraries. Domestic economy tickets and simple point-to-point flights are generally better booked directly by the traveler. Where airfare is included, Elsewhere will consider schedule, routing, connection time, fare conditions, and how the flights fit into the broader itinerary.
Elsewhere does not specialize in award redemptions, points optimization, or loyalty-status strategy. However, we will make sure your relevant hotel, airline, and cruise loyalty details are added where supported so that existing status benefits may be recognized and eligible activity can be credited appropriately. When paying for travel, clients may still use a credit card that earns points or miles, subject to the card issuer’s terms.
Yes. Villas and private rentals may be arranged when the property and booking channel meet Elsewhere’s service standards. Availability, payment protections, cancellation terms, on-site support, and advisor access vary considerably across private-rental platforms and individual properties. For that reason, villas and rentals are evaluated case by case. Where appropriate, Elsewhere may recommend a professionally managed villa, serviced residence, or villa-style resort that offers stronger support and clearer booking protections.
Yes. Travel insurance will be offered as part of the planning process. Coverage may help with certain events such as trip cancellation or interruption, medical emergencies, travel delays, or baggage loss, depending on the policy selected. Clients are responsible for reviewing the policy terms, exclusions, eligibility requirements, and coverage limits. Clients who decline coverage will be asked to acknowledge that decision in writing.
Yes. The level of dining support depends on the selected service. With Collaborative Trip Planning, Elsewhere provides a thoughtfully selected set of restaurant recommendations based on your preferences, location, schedule, and travel style. You choose which options you prefer and generally make the reservations directly unless selected booking support is included in the agreed scope. With Full-Service Custom Travel, Elsewhere can recommend restaurants and attempt to coordinate reservations as part of the itinerary. All reservations remain subject to availability, booking windows, deposit or credit-card requirements, cancellation policies, and the restaurant’s willingness to work with a third party.
In-trip assistance may be included for full-service clients within the agreed scope and stated availability. For an immediate on-site need, the hotel, cruise line, tour operator, transfer provider, or other local supplier should generally be contacted first, as they are usually best positioned to address the situation in real time. Elsewhere can then help coordinate with the appropriate partners, advocate on your behalf, and assist with reasonable travel-related issues when support is included in the engagement. The specific scope, communication method, and availability for in-trip support will be confirmed before departure. Elsewhere is not an emergency-response service. Travelers should contact local emergency services or the appropriate authorities when urgent health or safety assistance is required.
Travel plans sometimes need to evolve. When that happens, Elsewhere can help review the available options, coordinate with the relevant suppliers, and update the itinerary where possible. Any changes remain subject to supplier availability, fare rules, deadlines, penalties, and nonrefundable amounts. If a request requires significant additional planning or reworking of the itinerary, any related service fee will be discussed with you before the work begins.
Elsewhere will help guide you through the cancellation process and coordinate with the applicable suppliers where support is included in your engagement. Each reservation is subject to the supplier’s own cancellation terms, including any penalties or nonrefundable amounts. Planning fees reflect work already completed and are generally nonrefundable once planning has begun. Depending on the complexity of the cancellation and the level of supplier coordination required, an additional service fee may apply. Any such fee will be outlined in the client agreement or discussed with you before further work is undertaken. Travel-insurance claims and reimbursements are handled by the insurer in accordance with the selected policy.
